WealthFlow is designed for licensed financial advisors and insurance agents. By accessing or using the Service, you agree to the practices described in this Privacy Policy.

2. Information We Collect

We collect information that you provide directly, such as your name, email address, role, and profile details when you are invited and create an account. We also collect information you enter about your clients, leads, and prospects — including contact details, financial and insurance data, health-related information gathered during fact-finder sessions, call notes, and uploaded documents. Additionally, we automatically collect technical data such as login times, IP address, browser type, and usage activity for security and operational purposes.

3. How We Use Information

We use the information to provide and maintain the Service, to authenticate users and manage access, to enable features such as calendar syncing, email communications, pipeline tracking, and AI-assisted insights, to monitor for suspicious or unauthorized activity, to comply with legal obligations, and to improve the Service. We do not sell your personal information or your clients' information to third parties.

4. Client and Prospect Data

You are responsible for ensuring you have the legal right and any required consents to enter client or prospect information into WealthFlow, including personally identifiable, financial, or health-related details. You retain ownership of the client data you submit. We process this data on your behalf as a data processor to deliver the Service, and we handle it in accordance with this Privacy Policy and applicable data protection laws.

5. Health and Sensitive Information (HIPAA Awareness)

Fact-finder sessions and related features may collect health, medical, or insurance underwriting information about your clients. WealthFlow is a productivity tool and is not a covered entity or business associate under HIPAA unless separately agreed in writing. You are responsible for your own HIPAA compliance obligations, including obtaining patient authorization where required and ensuring that any protected health information you enter is permitted under your professional and regulatory framework. We apply technical and organizational safeguards, including access controls and encryption in transit, to help protect sensitive data stored in the Service.

6. Third-Party Integrations

WealthFlow may connect to third-party services such as Google (Gmail, Google Calendar), social platforms, marketing tools, and payment providers through OAuth and similar methods. When you authorize an integration, data is exchanged directly with that provider under its own terms and privacy policy. We do not control how third parties handle your data once it leaves the Service. You may revoke an integration's access at any time through your account or the provider's settings. WealthFlow's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

7. Data Retention

We retain your account information and the data you enter for as long as your account is active or as needed to provide the Service. When your account is terminated, the app owner may deactivate and delete your associated data in accordance with its retention policy, unless legal or regulatory requirements require longer retention. You may request deletion of your account and personal data at any time through the Service's settings.

8. Data Security

We implement reasonable technical, administrative, and physical safeguards designed to protect information in the Service, including encrypted data transmission, role-based access controls, audit logging of security-relevant events, and protections against unauthorized embedding of the application. However, no system is perfectly secure, and we cannot guarantee absolute security of your data.

You may view and update your profile information through the Service. Administrators of your workspace may manage user access, roles, and the data associated with their organization. You may request export or deletion of your personal data, and we will respond in accordance with applicable law and our retention obligations.

We may share information with service providers who help us operate the Service (such as hosting, analytics, and AI model providers) under confidentiality obligations, with your organization's administrators for workspace management, and where required by law, court order, or to protect the rights, property, or safety of the Service, our users, or others. Access within an organization is governed by role-based permissions set by that organization's administrators.

11. International Data Transfers

Your information may be processed and stored in data centers located in jurisdictions other than your own. By using the Service, you consent to such transfers in accordance with applicable data protection laws and standard contractual safeguards where required.

12. Children's Privacy

WealthFlow is intended for use by licensed professionals and is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a minor's information has been entered into the Service, please contact the app owner so it can be reviewed and removed.

13. Cookies and Tracking

The Service may use essential cookies or local storage to maintain your session and preferences. We do not use advertising cookies. Analytics, where used, are limited to understanding Service performance and improving user experience, and are configured to avoid collecting unnecessary personal identifiers.
